Job Summary
The Executive Assistant will provide high-level administrative, operational, and strategic support to the CEO. The successful candidate will serve as a trusted partner to the CEO, ensuring efficient management of schedules, meetings, communications, projects, and key business initiatives.
Key Responsibilities Executive Support
- Manage and maintain the CEO's calendar, appointments, meetings, and travel arrangements.
- Coordinate and prioritize the CEO's daily activities to maximize productivity.
- Prepare agendas, reports, presentations, correspondence, and briefing materials for meetings.
- Attend meetings with the CEO when required and take accurate minutes.
- Follow up on action items and ensure timely execution of assigned tasks.
Communication Management
- Manage incoming calls, emails, and other correspondence on behalf of the CEO.
- Draft, review, and respond to business communications professionally.
- Serve as a liaison between the CEO and internal/external stakeholders.
- Maintain effective communication channels across departments.
Administrative & Operational Support
- Organize, maintain, and update confidential files, records, and documents.
- Monitor and coordinate ongoing projects and ensure deadlines are met.
- Assist in the preparation of business proposals, contracts, and reports.
- Support the CEO in business development initiatives and special projects.
Meeting & Event Coordination
- Schedule and coordinate executive meetings, conferences, and corporate events.
- Arrange logistics for meetings, including venue setup, travel, accommodation, and refreshments where necessary.
- Ensure all meeting materials are prepared and distributed in advance.
Office & Relationship Management
- Build and maintain strong relationships with clients, partners, and key stakeholders.
- Represent the CEO professionally when interacting with customers, vendors, and business associates.
- Handle sensitive information with utmost confidentiality and discretion.
Qualifications and Requirements
- Bachelor's degree in Business Administration, Management, Mass Communication, Secretarial Administration, or a related field.
- Minimum of 3-5 years proven experience as an Executive Assistant, Personal Assistant, Administrative Manager, or similar role.
- Experience supporting senior executives or C-suite leaders is highly preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Exceptional attention to detail and problem-solving skills.
- Ability to multitask and work effectively under pressure.
- High level of integrity, professionalism, and confidentiality.
- Strong interpersonal and relationship management skills.
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with Google Workspace tools.
- Ability to prepare reports, presentations, and business documents.
- Knowledge of office management systems and procedures.
- Social media management and digital communication skills will be an added advantage.
