Job Summary
HighPoint Event Center & Suites is seeking a proactive, customer-focused, and results-driven Assistant Event Center Manager (Facility & Sales) to support the daily operations of the event center while driving venue bookings and ensuring excellent facility management. The successful candidate will be responsible for maintaining the venue to high operational standards, increasing revenue through sales and marketing initiatives, coordinating events, and delivering exceptional customer experiences.
Key Responsibilities
Facility & Operations Management
- Assist in the day-to-day management and smooth operation of the event center and its facilities.
- Conduct routine inspections to ensure the venue, equipment, furniture, and utilities are in excellent condition.
- Coordinate maintenance and repairs, ensuring issues are resolved promptly.
- Monitor cleanliness, safety, and compliance with company standards and health and safety regulations.
- Supervise facility support staff and external service providers where applicable.
- Ensure all event spaces are properly prepared before and after events.
Sales & Business Development
- Promote the event center to prospective clients to increase bookings and revenue.
- Respond promptly to customer inquiries, prepare quotations, and follow up on leads.
- Build and maintain relationships with corporate clients, event planners, and other business partners.
- Develop strategies to improve occupancy rates and maximize event bookings.
- Conduct venue tours and presentations for prospective clients.
- Support marketing campaigns, promotional activities, and customer engagement initiatives.
Event Coordination & Customer Service
- Coordinate with clients from booking through event execution to ensure seamless service delivery.
- Liaise with vendors, decorators, caterers, and other service providers to ensure successful event execution.
- Resolve customer complaints professionally and promptly.
- Ensure events are delivered according to agreed specifications and timelines.
- Gather client feedback and recommend service improvements.
Administration & Reporting
- Maintain accurate records of bookings, payments, maintenance activities, and operational reports.
- Prepare weekly and monthly sales and operational reports for management.
- Monitor inventory of facility supplies and recommend replenishment when necessary.
- Support budget monitoring and cost-control initiatives.
Qualifications & Requirements
- Bachelor's degree or HND in Business Administration, Hospitality Management, Marketing, Estate Management, or a related discipline.
- Minimum of 3 years' experience in event center operations, hospitality, facility management, or sales.
- Proven experience in customer relationship management and business development.
- Strong sales, negotiation, and communication skills.
- Excellent organizational and multitasking abilities.
- Good knowledge of facility maintenance and event operations.
- Proficiency in Microsoft Office Suite.
- Ability to work weekends, public holidays, and flexible hours when events require.
